Don't paste customer data into public AI tools

Public or unapproved AI tools may keep or reuse what you type, depending on the provider's terms. Treat anything you paste in as something that could leave your control.

What to do

  1. List what counts as customer data in your work: names, emails, phone numbers, account details, order history.
  2. Use only the AI tools your organization has approved for that kind of information.
  3. If you need help with a customer message, replace names and details with placeholders first.
  4. Read a tool's data terms before you adopt it, not after.

An example

Instead of pasting a full email thread with a client's name and pricing, paste a short summary: "Customer A asked about a delayed order. Draft a polite update."

Label copy

For small labels: Customer data stays out of public AI tools.

For water-bottle labels: Before you paste it into an AI tool, ask: would I be comfortable if this left my company? Customer details stay out of tools you haven't approved.
